Important Information about booking with Yorkshire Dales Glamping at Little Seed Field

Reservations

To secure your booking a deposit (or full payment) of the cost of your stay is required.  Bookings must be paid in full 6 weeks before your visit start date. If the booking is made less than 6 weeks from the date of your stay the full price of the stay is required. Confirmation of the booking will be sent after the deposit, or full payment, has been received.

If the balance is not paid by the due date Little Seed Field reserves the right to re-let the cabin and retain the deposit.

The person booking, where they are booking on behalf of other people, is responsible for disseminating the appropriate information to those persons that we send them. For example, these Terms and Conditions, information including directions and arrival details. This is to ensure all guests  are fully aware of the nature of the glamping site, Health and Safety issues and the wider woodland and pond areas.

Adult Only Groups (excluding bookings of 2 or 3 adults)

At certain times of year, we do not accept adult only bookings of four or more people. This is a time that is predominately families with children. Bonds may be asked against group bookings which contain children but are heavily weighted to adults – e.g 8 adults and 1 child. We do not take Stag groups.

A refundable security bond for adult only bookings of 4+ people may be requested and will be returned within 24 hours of departure, once confirmation has been received that no damage has occurred on site as a result of that group booking.

Guests and visitors agree to be considerate tenants and take good care of the cabins and facilities during their stay. For many, a break with us is focussed on relaxation and the wild nature of the site. To ensure this we ask you to not use amplified music and be conscious of the needs of families and wildlife to have relative quiet after dark.  The noise curfew is 23:00 (this does not mean no noise at all, a reduction to low level conversation is required after this time).

We do welcome large groups at Little Seed Field and will only do so when exclusive hire of the site is taken.   Groups will still be expected to ensure there is no disturbance to wildlife and households living nearby. Noise especially, even though good natured, can have an adverse impact on other wildlife. We do have a noise curfew of 23:00 – this applies to exclusive hire groups as well as general single unt cabins.

Please inform us during your stay of any accidental damage, so we can identify it as not malicious and replace it for you.

For any booking made by staff on your behalf on the booking system, or any other way, that you have requested or agreed (and in coming to the site it is deemed you had requested or agreed) it is deemed that in so doing and coming to the site, you accept the terms and conditions.

Payment

Prices are not binding. Little Seed Field reserves the right to modify prices. Any discounts and special offers cannot be used after a booking has been made, nor can newly announced discounts of special offers be applied retrospectively to a reservation. Payments are made either by online payment through our Stripe booking engine or directly to Little Seed Field via bank transfer.  Payment is taken in UK Pounds Sterling only. For group bookings, the security bond is due 48 hours prior to arrival.  Little Seed Field reserves the right to refuse admittance to the site if the security bond has not been received.

Changes to Bookings

Please let us know as soon as possible. Changes are only possible at our discretion and subject to availability.

Our Booking Guarantee

We aim to make sure that we help to rearrange bookings should your plans have to change with short notice.  We have now re-implemented our non-refundable booking policy post the strict COVID-19 controls being lifted.  This means that any cancellation or reduction of booking is non-refundable (often we may have turned other bookings away due to your booking and depending on how close to the arrival date if a cancellation is made the cabin would then remain empty).

If the cancellation is made 12 weeks or more away from the arrival date monies are not refunded, we are more than happy to help you to rearrange your booking to another time. If you end your stay with us early any dates not taken are non-refundable. If you pay for extras that are not taken (for example not bringing a dog when paid for in advance) these are non-refundable. 

If cancellation is more than 12 weeks from the arrival date, it may be able to be used as a credit for another future booking, subject to the terms described above, or you should claim it on your travel insurance.

Any cancellation or change must be confirmed in writing / email, by the person who made the booking.

We strongly advise visitors to take out full holiday insurance to cover cancellations, public liability, personal belongings, loss etc.

Should we need to evacuate the site for any reason or force majeure (for example extreme poor weather) you must observe the instructions of the staff. In such an event you will receive any nights missed as a credit to the value per night.

In the event we are forced to close the site (for instance due to very cold weather and frozen water pipes) and we are forced to cancel your holiday we shall inform you as soon as possible and rearrange your booking. We are not liable for refunds or expenses you incur in the event we are prevented from fulfilling your booking as a result of circumstances beyond our control. Such circumstances include, but are not limited to, war, terrorism, riots or civil unrest, industrial action, flooding, natural disaster, epidemics, health risks or such similar events, “Force Majeure”. We again recommend that you have adequate holiday insurance to cover this. Any rearranged bookings lower in value the difference is non-refundable. Any movements to a date higher in value, the difference is due 8 weeks prior to arrival.

 Arrival and Departure Times

Your cabin will be available for check in from 16:00 (no earlier).  Please advise us of your estimated arrival time. If you are likely to be later than 18.30 please let us know so we can ensure you have everything you need to locate your cabin without guidance.  Please note in the unlikely event where an issue may arise after a late arrival it may not be possible for this to be resolved until the following morning.

Please check you emails prior to arrival as we occasionally change your allocated to cabin to allow the most efficient use of our reservations systems.  You will be notified by email prior to your arrival of your final allocated cabin (we will never alter the grade of cabin reserved in this circumstance).

Guests are requested to vacate their tents by 10.00 on day of departure and please ensure before doing so you clear the cabin as required:

    1. Remove all rubbish to the appropriate bins/recycling
    2. Ensure no litter outside or around the cabins (this is vital to ensure safety to wildlife) NO CONFETTI or similar items are permitted. Please ensure all bottle tops are placed in bins (not on the fire)
    3. Clear ash from the fire pans
    4. Wash up all items allocated to your cabin and return them to the cabin
    5. Clear the wood stove and BBQ - please do not throw ash into the woodland put in the metal buckets provided near the field shelter

During Your Visit

Guests and visitors agree to be considerate tenants and to take good care of the cabins and facilities during their stay. Guests and visitors agree not to act in any way which would cause disturbance to other guests and wildlife. Should any facilities, equipment, or inventory, be damaged wilfully, as a result of inappropriate usage or behaviour, or a as a direct result of failing to respond to instructions from company staff you will be held responsible for the cost of repair or replacement of that item. The company cannot accept responsibility from any loss, damage, or expense arising from industrial action, terrorist activity, adverse weather conditions or any other event outside the control of the company. (For clarity, this includes guests parking their cars and driving throughout the site, entirely at their own risk).

Cars

All cars are to be parked in the parking areas a short walk from the cabins.  No vehicles are permitted on the glamping site except for emergency or access vehicles.  Wheelbarrows are provided for you to move belongings from your car to your cabins. We do not allow campervans with residents on site as we do not have facilities for this.

Managing Expectations

Please be aware that whilst “glamping” is more luxurious camping, it is still camping, which means it is not a hotel, you are outside, close to nature, with little or no insulation. You will be in The Dales, in nature, in Britain which does mean there may be insects, cold periods, mud and rain.

We do not have WiFi (if this is important to you then this is not the place for you to take your holiday).  Little Seed Field provides you the opportunity to get connected in a different way.  Connect to nature, connect on a personal level with loved ones and most of all reconnect with yourself.

There is limited electricity.  Limited mobile phone reception.  Limited human beings.  Where there are limits, we have masses of other enriching activities to offer – spending time in the woods, dipping for creatures in the pond, observing out OUTSTANDING dark skies, spotting as much wildlife as you can…and so much more.

Staff

Little Seed Field is a small, family-run, self-catering business.  There are not always staff present and we may be working elsewhere on the farm.  The site is self-check-in.  You will have received everything you need to help you locate your cabin without assistance.  You can always call us if you are having difficulty.  There are no public rights of way through our site, the only people you should see are other glampers, staff or farm workers.  We have never had a problem with theft however we do advise guests not to leave valuables unattended in the cabins.

Little Seed Field is not manned at all times. We are normally on site in the mornings so please let us know if you need anything or have any queries. Guests will receive our contact details should no one be visibly present on site.  Please do not call to the main house front door, please use the office door sited off the car park area.

Lighting

Please be aware we are located in a Dark Skies Reserve and we therefore purposefully offer very little outside lighting or bright lighting within the cabins.  In the winter months the site becomes dark early so please be prepared for this.  Please bring a torch.

Weather

Little Seed Field is in a natural environment. In working to preserve and enhance the land and it’s bio diversity, there are natural hazards, such as ponds, tree roots, poisonous plants, and extremely limited lighting after dark and depending upon weather conditions, cold, wet and slippery surfaces.

There may be instances where the site suffers from an interruption in electrical and water supply. Only a frozen water supply as stated above is a potential cause for cancellation and refund as electricity is not deemed critical to our holiday experience. A break in electricity supply does not toilets, only any electric lights and hot water. If a break in electricity supply is prolonged and likely to last more than 8 hours, staff will advise on the best next steps.

Wildlife and Insects

At Little Seed Field we do not control animals or insects. As such and depending on the time of year, certain creatures such as wasps, field mice and spiders may be present on site.

Pets

Pets are allowed on site but must be always kept under control.  Pets must never be left alone in the cabins, under any circumstances (even if crated).  Lonely pets cause noise and damage.  Our cabins can become very hot or very cold depending on the time of year and this could pose a threat to unsupervised pets.

By booking a stay at Little Seed Field, you agree to be responsible for your children and any dependants of children you are in charge of and your own welfare. You agree to take all reasonable precautions against personal injury, injury to others and damage to the site, facilities and cabins, such as regarding litter, fire and noise after 23:00. Anything you bring to the site or wider woodland and any damage or loss to your possessions is at your own risk. You use the facilities and amenities at the camp and wider woodland at your own risk.  CANDLES AND TEA LIGHTS ARE NOT PERMITTED. The Company accepts no responsibility from any loss or injury arising from being on our site or in the wider woodland.  By booking and acknowledging these Terms and Conditions, you are aware of the risks, hazards and dangers of personal injury in entering the site and woodland.

Corporate and wedding events are subject to additional terms and conditions and are sent to bookings where appropriate.

Little Seed Field reserves the right to change the website, including prices, and terms and conditions, without notice. The word “cabin” refers to both standard and ensuite cabins on the site. The price includes rental of the cabin, bed linen, cabin utensils and seating and use of the grounds (where permitted), use of water and car parking.

We also reserve the right to refuse entry to the glamping site, cancel bookings, or instruct people to leave the campsite, for any reason (for example due to inappropriate behaviour, dangerous weather or site conditions.)

Use of the Little Seed Field Website constitutes acceptance of the company’s Terms and Conditions and Privacy Policy.

Privacy

Your contact and personal details may be kept by us only if you select the ‘stay in touch’ option at point of booking/enquiring or if you select to join our mailing list.  You may opt out of receiving emails at any time by contacting us or clicking the unsubscribe link in the e-mail. The booking process asks for your address details and phone numbers, these are required by the Local Authority so at any time we can prove you are not residents at the glamping site. It also allows us to contact you should the internet fail and if we need to contact you whilst you are travelling to the site. Please note that your financial details are NEVER stored, nor seen, by us. For more information, please read our Privacy Policy document.

All our financial transactions are handled by STRIPE’s secure server. We will not pass on or sell your details to any third parties.

Please note complaints received after your stay cannot be reliably investigated and therefore most difficult to resolve. By bringing any issues to our attention at the time of your stay allows staff to try and resolve as quickly as possible and lessen any adverse impact on your stay.
